This collection contains the records for SSHELCO in its various past incarnations:
* The State College Librarians - Records date from 1969 - July 1972
* The Council of Pennsylvania State College and University Library Directors (COPSCAULD) - Records date from September, 1972 - April, 1983
* The State System of Higher Education Libraries Council (SSHELCO) - Records date from July, 1983 - 2005
Some of the more recently dated folders from 1998-2005 are not nearly as complete as the others, and don't appear to be official organizational records. It is possible that these folders were personal SSHELCO-related files added to the collection by an unknown individual at the time that the records were placed in the Archives at the uncertain time of initial transfer. All of the folers in the collection retain their original headings, and the materials within each folder maintain their original order. The folders have been arranged in several sections:
The first section of the collection consists of one folder for each available individual meeting, arranged chronologically, usually containing the official minutes for the meeting, along with any documentation, correspondence, statistical reports, brochures, notations or publications that support the meeting's agenda and focus.
The second section contains folders labeled "Minutes." Although these folders came to the archives labeled as "minutes", most of the folders contain varying types of documentation. The contents of the folders are summarized in the container listing. (The materials in the "minutes" files for 1998-2005 are believed to be from an unknown individual's files, rather than from an official transfer to SSHELCO records.)
The next section, again arranged chronologically, contains folders of correspondence for the years 1974-1998.
The following section, also arranged chronologically, contains HEGIS and IPEDS Report information for the years 1982-1997.
Finally, the collection contains a number of folders related to particular topics, subject areas or projects undertaken by the group over the years, ranging from circa 1962-2003. These folders contain documentaton such as background information, reports and working papers for these special projects and topics. Some folders are dated while others are not. The folders have been grouped roughly by the date of the activity. See the container listing for a description of the folders' contents, where appropriate. There are other folders in this section that have no label or heading. Again, see the container listing for a description of these folders' contents and dates / circa dates of included materials. One will often find that, even for dated folders, included materials often fall outside of the designated date range. See the container listing for details.
During the processing of this collection, materials were transferred from their original folders into acid-free folders. All folder headings, as well as any notations written on the outside or inside of the folders, were transcribed to the new folders.
Additional SSHELCO records acquired after the original processing have been handled as accretions.
